Follow the work, not the tools
We sit with the person who does the job today and write down each step, decision and exception. Automating a process nobody has described properly just makes the mistakes faster.

Design the failure path first
Every workflow has an error branch: retries for temporary faults, a clear alert for anything that needs a person, and a record of what ran. You find out about a failure from an alert, not from a customer.
Step 03
Build in n8n, where you can see it
n8n shows each workflow as a diagram your team can read and adjust, and it can run on your own server. When a step needs more than n8n handles well, we add a small piece of code rather than bending the tool.

Put people where mistakes are expensive
AI agents classify emails, extract fields from documents and draft replies. Steps that move money, change customer records or send messages outside the company wait in an approval queue until someone signs them off.

Hand it over so it isn’t a black box
Each workflow ships with a short document: what triggers it, what it changes, what to do when it alerts. Your team gets a walkthrough and the exported workflows in your own repository.

How much does n8n automation cost?
Each production workflow includes error handling, alerts and documentation. The price depends on the systems, the rules and any AI steps, and you’ll get a fixed price before we start.
How long does it take to build a workflow?

Should we use n8n or Zapier?
Zapier is quicker to start and has more ready-made connectors. n8n costs less as volume grows, can run on your own server, and handles complex logic more cleanly. If your Zapier setup is small and working, keep it. Our n8n vs Zapier guide walks through the trade-offs.
Do we need a technical team to maintain it?
No. Someone comfortable with spreadsheets can read an n8n workflow and make small changes after the handover walkthrough. For anything bigger, or if you’d rather not own it, a support retainer covers fixes and changes.
What happens when a workflow fails?
Temporary errors are retried automatically. Anything that still fails triggers an alert with the record and the error, and the failed run can be re-run once the cause is fixed. Nothing fails silently.
How are our credentials and data protected?
Credentials are stored encrypted in your own n8n instance, not ours, and each one is scoped to the minimum access the workflow needs. On self-hosted n8n you also decide where the data lives.
Can AI agents act without someone checking?
For low-risk steps such as sorting emails or tagging records, yes. Anything that moves money, edits customer records or contacts people outside your company waits for approval. Our post on human-in-the-loop agents explains how we decide.
Do you work white-label for agencies?
Yes. We build and document workflows under your agency’s name, and you stay the client’s point of contact.
