HubSpot & CRM Development
HubSpot integration services and custom CRM development
We shape HubSpot (or the CRM you've chosen) around how you actually sell, migrate your data into it without losses, and connect it to the systems that hold billing, accounting and product data. The result is a CRM your team updates because it’s right, not because they’re told to.
HubSpot knows the pipeline but not the money
HubSpot is usually set up well for marketing and sales. The trouble starts after the deal closes: subscriptions live in Stripe, invoices in QuickBooks or NetSuite, and usage in your product. Reps and account managers can’t see whether a customer has paid, so they ask finance, or they guess.
Some processes don’t fit HubSpot’s defaults at all. A loan with three applicants, a project with several billing contacts, or a contract with custom terms ends up in notes fields and spreadsheets, where workflows and reports can’t reach it.
Signs this is costing you
- Account managers ask finance whether a customer has paid.
- Deals have several contacts, but only one of them gets updated.
- Quotes are built in HubSpot, then retyped into the billing system.
- Important data sits in notes because no property or object fits it.
- Pipeline reports are adjusted by hand before every meeting.
- You're moving CRMs and worried about losing history in the move.
How we approach it
Step 01
Audit the portal and the process
We review objects, properties, pipelines, workflows and existing integrations, and compare them with how each team actually works. The gaps between the two become the plan.
Step 02
Model the data before automating it
Properties, associations and custom objects are designed so the data you need sits where workflows and reports can use it. A deal with several applicants or billing contacts is modelled explicitly, not squeezed into one primary contact.
Step 03
Choose the lightest integration that works
Some flows need only a native app or a HubSpot workflow. Others need an n8n workflow, a custom-coded action in Operations Hub, or a hosted service. We pick per flow and explain the trade-off in cost and maintenance.
Step 04
Build in a sandbox, then migrate
Changes are built and tested in a sandbox or test portal with realistic data. Then records are migrated and deduplicated, with counts and associations checked before your team switches.
Step 05
Document and hand over
Every property, workflow and integration is documented, and admins get a walkthrough of what was changed and why.
What you get
- Portal audit
- What works, what doesn’t, and the fixes in order of impact.
- Data model
- Properties, associations and custom objects, documented and implemented.
- Workflows and pipelines
- Configured to your sales and service process, tested in a sandbox first.
- Integrations
- Two-way syncs with Stripe, QuickBooks, NetSuite, Shopify or your product, with error alerts.
- CRM implementation and migration
- HubSpot or another CRM set up from scratch, or data moved between CRMs with counts, associations and history checked before you switch.
- Documentation
- A reference for every property, workflow and integration, so your admin isn’t guessing.
How the project runs
Step 01
Scoping call or paid discovery
Single-system work is scoped on a call. Multi-system projects start with paid discovery, credited to the build.
You get: Written scope and a fixed price
Step 02
Sandbox build
Data model, workflows and integrations built and tested away from your live portal.
You get: Working setup in a sandbox or test portal
Step 03
Migration and go-live
Records migrated and deduplicated, integrations switched on, counts checked.
You get: Live portal and a migration report
Step 04
Handover
Admin walkthrough and documentation.
You get: Documentation and recorded walkthrough

How you can work with us
Setup and integration work is fixed price. Teams that keep changing pipelines and workflows often keep us on a monthly retainer for RevOps changes.
Usual fit for this service
Fixed price
A defined integration, workflow or first release of an app.
Discovery produces a written plan with scope, deliverables and a fixed price. Changes to scope are quoted before they're built.
Hourly
Small changes, fixes, or work that's hard to scope until someone looks at it.
Time is logged against each task, so you can see where every hour went.
Monthly retainer
Integrations and automations that are live and need someone responsible for them.
Monitoring, fixes and small changes during business hours, Monday to Friday (PKT), with a monthly summary.
Dedicated developer
Ongoing product work where you want the same engineer every day.
One engineer works in your tools and stand-ups full time. You set the priorities.
Common questions
Something else? Ask an engineer.
How much does a HubSpot integration cost?
HubSpot setup or an integration with one other system is quoted after a call. Integrations across several systems usually start with paid discovery, credited to the project, and end with a fixed price.
Do we need a native app, an iPaaS or a custom integration?
Start with the native app if it does what you need; many do. Add an n8n workflow or an iPaaS when you need logic the app doesn’t support. Build a custom integration when volume, timing or business rules go beyond both. We’ll tell you which applies to each flow.
Can you sync deal data to every contact on a deal?
Yes. HubSpot’s built-in copy actions work on a trigger and assume a primary contact, so later changes and extra contacts get missed. We built an n8n workflow that keeps every associated contact in step for a lending business. The case study shows how.
Can HubSpot run quote-to-cash with Stripe and our accounting system?
Yes, with care at the edges: approvals, payment status, invoice numbers and which system owns each one. Our quote-to-cash guide covers the setup and the cases to test.
Do you test changes before touching our live portal?
Yes. We build in a HubSpot sandbox or a separate test portal, depending on your subscription, and only migrate once the setup has been checked.
Do you work with CRMs other than HubSpot?
Yes. HubSpot is the CRM we work in most, and we also implement, migrate and integrate other CRMs. If you haven't chosen a CRM yet, we'll compare the options for your process honestly.
How do you migrate between CRMs without losing data?
We map every object and field first, run a test migration into a sandbox, and compare record counts and associations between old and new before anyone switches. Anything that doesn't reconcile is fixed before go-live, not after.
Are you a HubSpot partner?
No. We’re an independent engineering studio that builds on HubSpot’s APIs and tools. The case studies show the kind of HubSpot work we do.
