Marketing Automation
HubSpot marketing automation, from form to closed deal
We set up lead scoring, nurture workflows and the handoff to sales in HubSpot, then use n8n to bring in the data HubSpot can't see on its own: ad spend, product usage, Amazon or app revenue. Scoring improves because it's checked against what actually closed.
Leads arrive. Then what?
Many teams have HubSpot and still handle leads by hand. Every form fill goes to sales, hot and cold alike; follow-up depends on who's busy; and nobody can say which campaigns produce deals, because the data that would prove it lives in other tools.
Lead scoring is often set up once, from guesses about what a good lead looks like, and never compared with who actually bought.
Signs this is costing you
- Sales complains about lead quality; marketing complains about follow-up.
- Every lead gets the same emails, whatever they did.
- Lead scores exist, but nobody trusts or uses them.
- Ad spend, product data or ecommerce revenue never reach HubSpot.
- Attribution reports are empty because deals have no associated contacts.
How we approach it
Step 01
Agree the lifecycle first
Marketing and sales agree what a lead, marketing-qualified lead and sales-qualified lead mean, and who acts at each stage. Automation follows those rules, not the other way round.
Step 02
Score on fit and behaviour
A scoring model combines who the contact is (company, role, market) with what they've done (pages, emails, forms). Then we compare scores with closed deals and adjust.
Step 03
Nurture by what people did
Workflows send relevant follow-up based on the content someone engaged with, and stop when they talk to sales.
Step 04
Bring the missing data in
Our integration team uses n8n or the APIs to bring ad spend, product sign-ups, Amazon or app store revenue into HubSpot, so reports and scores reflect real outcomes.
What you get
- Lifecycle and handoff rules
- Stages, definitions, owners and response times, documented.
- Lead scoring model
- Fit and engagement scoring, reviewed against closed deals.
- Nurture workflows
- Behaviour-based email sequences and internal alerts.
- Data connections
- Ad, product and revenue data flowing into HubSpot through n8n or APIs.
- Dashboards
- Pipeline and revenue by source, and how scores relate to outcomes.
How we measure it
Automation is judged by what happens to leads, not by how many workflows exist.
What we track
- Lifecycle stage changes and time between stages
- Lead score at handoff, compared with whether the deal closed
- Email engagement within nurture sequences
- Deals and revenue by original source and campaign
Where the data lives
- HubSpot reports and dashboards
- Ad and revenue data synced into HubSpot by n8n
- Looker Studio where data from several systems needs combining
- How you see the return
- You see how quickly leads are handled, how many become pipeline, and which sources and campaigns produce revenue.
- When to expect results
- Setup usually takes a few weeks. Scoring becomes reliable after enough deals have closed to compare against.

Common questions
Something else? Ask an engineer.
Which HubSpot subscription do we need?
Workflows and lead scoring need Marketing Hub Professional or above, and revenue attribution reports need Enterprise, according to HubSpot's documentation at the time of writing. We'll confirm what your current subscription can do before recommending anything.
How do you build a lead scoring model?
We combine fit (company size, role, market) with engagement (pages, emails, forms), agree a threshold with sales, and then check it against deals that actually closed, adjusting until the score predicts something useful.
How are leads handed to sales?
When a lead meets the agreed criteria it's assigned to the right person, who gets an alert with the context: what they did and why they qualified. If nobody responds in the agreed time, it escalates.
Can you bring ad spend and revenue data into HubSpot?
Yes. That's where our integration work comes in: n8n workflows or API integrations bring in ad spend, product usage, ecommerce or app revenue, so reports cover the full picture.
We don't use HubSpot. Can you still help?
Yes. The approach is the same in other CRMs; the tools differ.
How long does setup take?
A few weeks for most teams, depending on how many workflows and data connections are involved. You'll have a dated plan after the workshop.
